Bookkeeping, rent, maintenance, leases and reports in one system you own. No per-unit fees, no enterprise contract, no paid AI add-on. The $20 is your own Claude subscription, billed by Anthropic. Already pay for ChatGPT, Google AI or Grok? It runs on those too.
Free. No obligation. Talk to the landlord who built it.
Typical use fits the $20 Claude Pro plan. Heavy daily use on a large portfolio may need a higher plan, such as Claude Max.
I'm Raj Rajagopalan, a self-managing landlord overseeing 31 rental units across four buildings in Sunnyvale and San Jose, California.
I manage my own properties, so I understand the day-to-day work involved. Tracking rent payments, reconciling transactions, managing leases, following up on repairs, keeping receipts organized and staying ahead of deadlines can take hours every week.
I tried using multiple property management tools, but I still had to connect the pieces myself. I needed a better way to manage everything without adding more work.
So I built Landlord AI Desk, an AI-powered property management system designed specifically for self-managing landlords.
For the past eight months, I've been using it to manage my own rental portfolio. It helps me organize property information, check rent payments, reconcile financial records, identify discrepancies and keep track of important tasks in one place.
My goal is simple: spend less time on repetitive administrative work, reduce mistakes and run my rental business more efficiently, without depending on a third-party property management company.
“This isn't software built by someone who has never managed a rental property. It's a system I built to solve the problems I face as a landlord, and it's the same system I use every day.”
Less time spent on bookkeeping, rent checks, reconciliation and routine follow-ups.
Reconciliation checks help flag duplicate entries, payment discrepancies and other issues that need attention before reports are finalized.
Keep leases, receipts, repairs, rent records and important deadlines organized across all four buildings.
Manage your own properties with AI-assisted workflows and organized records, without the complexity or expense of a traditional property management operation.
Self-managing landlords wear many hats. We handle the tenants, the finances, the maintenance, the paperwork and everything in between.
I built Landlord AI Desk to make that workload easier to manage. Instead of spending so much time keeping track of information, I wanted a system that helps me see what needs attention and handle routine work more efficiently.
I continue to use and improve it based on the real challenges of managing my own rental properties.
Landlord AI Desk is built for landlords who manage their own properties, by a landlord who does the same.
Eight jobs that used to eat my week, and what the system does with them now. Also included: equipment records, insurance coverage checks and claim tracking.
Most rental software stores your records and leaves the work to you. Landlord AI Desk reads your documents, books your transactions, matches your rent and drafts your notices.
Every deposit is matched to the lease and the ledger. Short payments, doubles and mis-tagged checks are flagged, never guessed.
Double-entry books mapped to IRS Schedule E. Income statement, balance sheet, cash flow and a property P&L your CPA can trace back to the source document.
Rental inquiries become leads. Tenant emails, vendor invoices, bank alerts and Baselane payment notices are filed and turned into action items. Bank statements download from Baselane and are filed by property and month.
Deposit itemizations, rent-increase notices and legal notices, checked against California's AB 1482 and local rent caps and the 21-day deposit return deadline, and screened for fair-housing wording.
Dashboard, rent roll, finances, tenants, maintenance and deadlines on a private, password-protected web page that runs on your own computer only.
Your original documents can't be overwritten. Social Security numbers can't land in your notes. Every change is re-checked. These rules are enforced by code on every supported AI.
Built and tested on a real portfolio. Every command, script and check below is part of the system you receive.
Counts describe the full system as of October 2026 and grow as I add features. Customers receive the same system.
There are no menus to learn. Ask in plain English and get answers from your own records. Your morning check takes about three minutes.
A free 20-minute call. Tell me your unit count and your biggest time sink, and bring your questions.
Your vault is configured, your documents are imported and linked, and your chosen AI is connected. Setup includes 2 to 6 hours of support in your first 30 days.
Ask about rent, repairs, leases or taxes in plain English. Use the AI you already pay for, and switch any time with one command.
Three tools work together on your computer, so a new receipt is filed in moments and any answer is a question away.
Leases, receipts, notices and inspections as linked notes. Every document sits with its property, tenant and vendor.
Rent, tenants, transactions and deadlines stored as structured records, so updates and lookups take seconds.
Maps how properties, tenants, leases, vendors and payments connect, so related records come up together.
The same standard accountants use. Every dollar is recorded twice, so your books always balance and errors surface on their own.
AI reads and organizes. It does not do your math. Seven layers, each checking the one before it.
Totals, rent and cash flow come from fixed formulas on your records. The AI explains them. It does not invent them.
Each fact lives in one place. Reports are rebuilt from it, so two screens never disagree.
Recorded rent, bank deposits and the accounting ledger are compared. A mismatch shows up.
The same payment from two sources is flagged, not counted twice.
Results get a confidence score. High passes. Medium shows concerns. Low is blocked until you review it.
When a document is unclear or two sources conflict, it stops and asks you.
Source documents are never edited, so every number traces back to a real file.
Checks reduce errors. They do not remove your responsibility to review reports before relying on them.
Answered from your own records, in seconds.
The knowledge graph links tenants, units, leases, vendors, payments and receipts, so one question can follow the trail across all of them.
Most tools charge every month, keep your records on their servers and sell AI as an extra.

Your vault and database stay on your own Windows PC, Mac or Linux computer. We do not host them. When you ask a question, the relevant file contents go to the AI provider you chose, through your own account.
When documents are converted, SSNs, bank account numbers and ID numbers are removed on your computer first. For sensitive papers, you can type just the facts instead.
All AI features run on your own AI plan or pay-as-you-go account, billed to you directly by the provider. We never resell AI usage.
Everything is plain files in your own vault. Open them in any editor, with or without AI.
It works through each provider's coding agent, which can read and work on the files in your folder. The ChatGPT and Gemini chat apps can't do that, so they are not supported.

Kimi K3, DeepSeek V4.1 Flash and GLM 5.3, through Fireworks AI
Same commands, same safety checks and the same records, whichever AI you choose.
Kimi, DeepSeek and GLM are open models from Chinese AI labs. Landlord AI Desk runs them only on US-hosted servers (Fireworks AI), and no data is sent to China.
Paid once for setup. Every setup includes a fixed block of support hours for your first 30 days. No per-unit fees, ever.
Pay only when you need it. Billed in 30-minute blocks, with a 30-minute minimum.
Up to 3 hours of support each month, plus a monthly reconciliation review of your books.
A full-service property manager typically charges 8 to 10% of collected rent, every month, plus leasing fees. Per-unit software charges more as you grow. Landlord AI Desk is a one-time setup with no per-unit fees.

Already pay for ChatGPT, Google AI or Grok? Use that instead. AI plans are paid directly to the provider, and prices change, so check the links above. We help you choose during setup.
If setup doesn't meet what we agreed in your walkthrough, tell us within 30 days of setup completion and we will make it right. If we can't, you get a refund as described in our Refund Policy: the full fee before setup work begins, or the setup fee less the included support hours ($49/hr) once setup is completed.
